Job Description

Schedule: Monday-Friday, 8:30am-5:00pm, with overtime as offered
Compensation: $18-20/hr.
Location: Woodbury, NY 

Position is Temp to Perm*


Responsibilities:

  • Coordinate and schedule IME appointments, ensuring accuracy and adherence to client requirements.

  • Manage high daily case volume (100–120 cases), maintaining speed without compromising quality.

  • Communicate professionally with claimants, physicians, legal professionals, and clients to confirm appointments and resolve scheduling conflicts.

  • Utilize scheduling software and internal systems to maintain accurate and up-to-date records.

  • Respond to inbound communications (phone, email, chat) promptly and effectively.

  • Collaborate with internal teams to ensure seamless operations and adherence to timelines.

  • Follow up on outstanding scheduling tasks or documentation as needed.

  • Maintain confidentiality and HIPAA compliance in all communications and record keeping.

Qualifications:

  • 1–3 years of experience in scheduling, coordination, or administrative support.

  • Proven ability to manage a high volume of tasks efficiently and accurately

  • Strong communication skills across phone, email, and chat platforms.

  • Proficiency in Microsoft Office Suite and scheduling software (experience with systems like CaseWorks, MedEx, or similar a plus).

  • Exceptional organizational skills and attention to detail.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Customer-focused mindset with a professional and courteous demeanor.
