Job Description
Assistant Controller / Accounting Manager
Rockville Centre, NY (Onsite)
Full-Time | Exempt
$125,000 – $150,000
What You’ll Own
Financial & Accounting Leadership
- Manage day-to-day accounting operations across multiple entities
- Oversee general ledger, AP/AR, payroll allocations, and intercompany activity
- Lead month-end close (bank, credit card, loan reconciliations, accruals, prepaid schedules)
- Prepare monthly reporting packages for executive review
- Maintain GAAP-compliant financials and strong internal controls
- Partner with external accountants, auditors, and lenders
Construction Accounting & Job Costing (Critical)
- Own job cost setup, tracking, and variance analysis
- Prepare and manage AIA G702/G703 pay applications
- Monitor contract values, change orders, retainage, and over/under billings
- Maintain accurate WIP schedules and percent-complete reporting
- Support loan draw documentation and lender reporting
- Review project profitability with Operations and Project Managers
Systems & Integrations
- Serve as system owner for Sage Intacct
- Oversee financial integration with Procore
- Reconcile commitments, budgets, and change orders between systems
- Troubleshoot sync discrepancies and improve reporting workflows
- Drive system enhancements and process efficiencies
Multi-Entity Accounting Exposure
- Support architecture billing (time & expense, milestone billing, consultant tracking)
- Maintain property-level P&Ls and CAM reconciliations
- Monitor rent collections and escrow/security deposit schedules
- Ensure clean coding across jobs, projects, properties, and overhead
Cash Management & Compliance
- Prepare weekly AP schedules for CFO approval
- Monitor AR aging and coordinate collections
- Forecast cash flow and support covenant compliance reporting
- Oversee 1099 processing and vendor compliance documentation
- Ensure adherence to tax and regulatory requirements
What Makes You a Fit
? 7–12+ years of progressive accounting experience
? Strong construction accounting experience (job costing + WIP required)
? Direct AIA G702/G703 billing experience (non-negotiable)
? Sage Intacct experience (required)
? Procore experience (required)
? Advanced Excel skills (pivot tables, XLOOKUP/VLOOKUP, reconciliations)
? Experience in multi-entity environments
? CPA preferred but not required
This Role Is Not a Fit If:
- You are seeking a high-level review-only Controller role
- You are not hands-on in accounting systems daily
- You do not have direct AIA billing experience
- You are uncomfortable posting journal entries and owning close
