Admin Assistant
Job Description
Location: Southold, NY
Industry: Pool Services
Schedule: Full-Time, In-Office
Compensation: $25/hour
Season: March – November (winters off)
Schedule
- Monday – Saturday (Tuesdays off)
- Monday – Friday: Approximately 9:30 AM – 5:30 PM
- Saturdays (May–October): 7:30 AM – 3:30 PM
- Hours may fluctuate seasonally based on business needs
WHAT YOU WILL DO
- Answer and manage incoming customer phone calls
- Maintain and update service call logs through accurate data entry
- Manage ongoing client communication regarding service updates and scheduling
- Print, review, and organize daily operational reports
- Communicate closely with management regarding service-related matters
- Utilize the SKIMMER application for service management (training provided)
- Assist with inventory tracking and organization
- Maintain filing systems and administrative records
- Track callbacks, follow-ups, and service issues for KPI reporting
- Help create reports, improve processes, and systematize SOPs
- Provide additional administrative support as needed; responsibilities may vary daily
WHAT WE'RE LOOKING FOR
- Excellent phone etiquette and customer service skills
- Strong written and verbal communication abilities
- Proficiency with Microsoft Outlook/email communication
- Experience with Google Sheets and Microsoft Excel
- Strong organizational and multitasking skills
- Ability to work effectively under pressure in a fast-paced environment
- Excellent follow-through and attention to detail
- Reliable, proactive, and team-oriented mindset
Additional Information
- This is a seasonal role with the opportunity to return annually
