Administrative Support Specialist
Job Description
- Document Management: Gather and categorize patient anesthesia records, support documents, and quality forms, maintaining a well-organized record system based on dates.
- Reconciliation: Match records with the daily schedule and utilize various tracking methods to prevent any oversight in case submissions.
- Quality Assurance: Review all documents to ensure completeness, including legible and transmittable anesthesia records, demographic information, date, anesthesia start and stop times, surgical procedure and diagnosis, anesthesia provider names, QI sheet/number, post-operative pain block and line placement documentation (where applicable), and medical diagnoses or pre-anesthetic evaluations for MAC Medical Necessity.
- Additional Documentation: Collect and provide supplementary documentation as requested by the billing office.
- Follow-Up: Maintain diligent follow-up on email requests for additional information, keeping a systematic approach to track open requests that require follow-up.
- Administrative Tasks: Assist with miscellaneous administrative duties as needed, such as researching missing documentation and promptly supplying requested information.
Job Requirements
- Proficiency in general office skills, including operating fax machines, scanners, and basic computer tasks, with familiarity in Microsoft 365.
- Exceptional multitasking abilities, strong attention to detail, and accuracy.
- Effective verbal and written communication skills, with the ability to communicate in a timely manner.
- A general understanding of HIPAA Compliance and protected health information.
- A positive and professional attitude, with a strong emphasis on collaborative teamwork.
- High School diploma or equivalent, with some college coursework preferred.
- Familiarity with Medical Terminology, CPT codes, and ICD-10-CM is a plus.
- Prior experience with Document Management Systems is a plus.
- Proficiency in Microsoft Office applications.
